How to password protect files you share online

Share sensitive documents safely with password protection. Control who sees your PDFs, portfolios, and project files with bopbee.

Sharing a link is convenient — but not every file should be public. Contracts, draft portfolios, internal decks, and client work often need a gate between your link and the internet.

Password protection lets you share a link only people with the password can open.

When to password protect

Good candidates for password protection:

  • Job applications — share a portfolio link only with specific recruiters
  • Client deliverables — previews before final approval
  • Internal documents — team decks, strategy docs, HR policies
  • Student submissions — share with a professor, not the whole class
  • Pre-launch content — landing pages before public announcement

Public marketing pages? Skip the password. Sensitive or selective sharing? Add one.

How it works on bopbee

  1. Upload your file — PDF, website, presentation, or any supported format
  2. Enable password protection in project settings
  3. Set a password — choose something strong but shareable
  4. Share the link — recipients enter the password to view

The URL stays the same. You can change or remove the password anytime without sending a new link.

Step-by-step

Step 1: Upload your file

Drag your PDF or project folder onto bopbee.com. You'll get a link like deck.bopbee.app.

Step 2: Enable protection

In your project settings, toggle Password protect and set your password.

Tips for good passwords:

  • At least 8 characters
  • Mix letters and numbers
  • Avoid obvious choices like "password123"
  • Use a unique password per project

Step 3: Share link + password separately

Send the link and password through different channels for better security:

Email: "Here's the proposal: preview.bopbee.app" Slack DM: "Password: SpringLaunch2026"

This way, someone who finds the link can't open the file without the password.

Step 4: Update anytime

Need to change access? Update the password or disable protection in settings. The link stays the same — no need to re-send URLs.

Password protect vs other options

Method Best for
Password protection Quick sharing with a small, known audience
Private link (unlisted) Low sensitivity, obscurity is enough
Email attachment One recipient, small files — but clunky
Enterprise data room Large deals, audit trails, many stakeholders

For most freelancers, students, and small teams, password protection hits the sweet spot between security and simplicity.

Pro tips

  1. Set an expiration mindset — change passwords after a project closes
  2. Don't put the password in the same email as the link — use a separate channel
  3. Use view tracking — see if and when protected files were accessed
  4. Combine with custom domainspreview.youragency.com plus a password looks professional

Free vs paid limits

Free bopbee accounts include password protection on a limited number of files. Premium plans unlock unlimited protected files and advanced access controls.
